Timeline

  • 25 Nov 2019 – 1st Demo Meeting
  • 13 Nov 2019 – Submitted the chartered papers with 20 members.
  • 20 Nov 2019 – Charter Meeting
  • 30 Jun 2020 – End of Term 2020/2021 with 35 members

We had survived 250 days (8 months 6 Days) since the 1st demo meeting on 25 Oct 2019 for the charter Term.

To all the Chartered Members, Chartered Club Officers and Club Advisers who brave storms and challenges that most of you understand the important of Club Leadership and how Online presentation is important to Public Speaking on the 100% online club/platform.

To the new members, thank for your interest to SG Intl Online English Toastmasters Club, the next 12 months, you will get a different experience.

First let me clarify the type of audience that are attending Singapore Intl Online English Toastmasters Club.

We are 100% online club that meet online every week. We do not meet in person. We focus on Public speaking on Online Presentation using Toastmasters International Educational Programme.

Guest/Attendees – not a member of any Toastmasters Club

  • You can only take part in Impromptu (Table Topics ) speaking segment.

Visiting Toastmasters – a paid member of another toastmasters club 

  • You are given 3 speaking opportunities every 4 months per year and you can take up meeting roles.
  • A fee of SGD$5 is payable if you wish to do your project speech as a guest speaker.

Member – paid members of Sg Intl Online English Toastmasters Club

  • Only members of the Sg Intl Online English Toastmasters Club have priority and privileges to speak at the club meetings.

You might have subscribed to our mailing list or have added our weekly zoom link to your calendar that you have mistake yourself as a member of the club.

Use of Technology to your advantage at SG Online

As we are a 100% online club at SG Online, we used a lot of technology to help us manage the weekly meeting.  

Zoom Only Meeting

Zoom is the preferred online meeting tool that are mostly used.  

Since we meet 100% online, we use the Zoom meeting or Zoom Webinar (add on cost) a lot. We might purchase a Webinar option for another USD$40 USD/100 attendee when there is a need and demand to do so.

Since the Zoom Webinar option is chargeable, we had to turn off attendees’ video during the workshop to stimulate Webinar format. Only the Timer, Speaker, will be shown using a panel format that is similar to Webinar format.

Toastmost – Booking of Speaking Slot/ Meeting Roles

Toastmost were originally set up on Nov 23 2019  to use when the club first chartered. Due to time constraints, I do not have time to setup Toastmost as we are already using Easyspeak

Easyspeak is using a shared database in an content management systems that members faced with multiple login issue, time-out.


Toastmost is using single database and have more features than Easyspeak and members can use their Gmail/Facebook account to login instead of remembering login id and password that they might have.

The setup on hold till Apr 2020 when the increase of new members and I had to spend time working on Toastmost.

Meeting Roles Assignment

Allocation and assignment of meeting roles are at the discretion of the VPE and CP according to the Club Leadership Handbook.

The re-allocation and assignment of the roles are being done in this way due to the level of members and evaluators as to improve member skill-based. (This is not an easy task to allocate.

Please add SG Online Zoom meeting to Google Calendar / Mobile Device Calendar on your mobile device.

Every week, we noticed members asking for Zoom Id and password.

We even have weekly meeting poster highlighting the Zoom meeting Registration link.

After registration on the Zoom meeting, you can add All SG Online Zoom Meeting entry to your calendar to access the encrypted zoom meeting link. 

Registration had been enabled to communicate Guests through email so that Club Officers can communicate/invite them again. In marketing, this is called Lead Marketing.

Communication

Setting up a new club as a Club Sponsor required me to get my hands dirty as leader, I did not have time to communicate enough with everyone in the last 8 months.

There will be more communication note like this from your Club Officer in the new term starting 1st Jul 2020.

SG Online Zoom Room Meeting Policy

Sg online zoom room had been setup for Registration and Passcode Protected.

Upon entry to SG Online Meeting, you would be muted.

Only the following meeting roles will be UNmuted.

  • Toastmaster of the Day
  • Table Topic Master
  • Table Topic Speaker (They can put in the chat as TT, the Zoommaster or Table Topic Master will unmute the speaker)
  • Speaker (When their turn to speak)
  • Evaluator (When their turn to speak)
  • Grammarian 
  • Ah Counter

Everyone will be Unmuted during break time and Muted after the break time.

Co-Host will be assigned to

  • Toastmasters of the Day – To start recording, pause recording.
  • Table Topic Master – To unmute Table Topics Speaker
  • SAA of the meeting – To assist in the unmuting and muting audience.

For speakers who need Share a Presentation

  • You can make a prior arrangement by informing the Toastmaster of the Day who will consolidate the list of speaker and send to the Club President by Thursday so that he will know who needs to share screen.

Chat

IT will be set as Open Chat as we want open interaction and we had disable private chat.

Booking of Zoom Room is subjected to Availability.

Schedule

  • Availability of Zoom Meeting Slot and Zoom master schedule.
  • Events Relating to Communication and Leadership Topics.

Social Media Publicity

  • We will promote our events/meetings using Poster.
  • We will publish the poster through Social media through our chain of channels mode.

Release of Recording Policy

  • We reserve the right to decide on the release of recording to the public or Club Members.
  • When the Events/Workshop is indicated as Live Event, we do not release the Recording to the General Public

Release of Workshop Slides (if any)

  • Please allow sometime , we will send the slides once the workshop speaker.

SG Online Club Dress Code Policy

Every club is different so it really does depend on the club. Community clubs meeting at night or on the weekends might be casual while corporate clubs might require a more formal dress.

Guys – Polo – Shirt or Business Shirt.

Ladies – Polo Shirt or Blouse


Disclaimer

In general, just remember that appearance matters when it comes to public speaking.

While you don’t need to look like a supermodel to be taken seriously, you do want to make the effort to look clean and neat.

You should always dress up a notch whenever you give speech – Toastmasters related or not. And if you’re looking to get hired as a speaker, all the more reason to dress up.
